Reporting to the Associate Director, Educational Outreach and Scientific Programs, the The Coordinator, Visiting Researcher Program is responsible for the administration of all aspects of Perimeter Institute’s Internationally renowned Visiting Researcher Program. Additionally, the Coordinator, Visiting Researcher Program, will provide general administrative assistance and back up support for the Program Lead, Visiting Research Program, and the Program Manager, Conference and Scientific Events during peak times.

What You'll Do:
- Coordinate all aspects of the Visitor Program, ensuring compliance with policies.
- Oversee visitor requests, approvals, and communication, collaborating with IT to streamline processes.
- Maintain accurate visitor records in Salesforce and prepare visitor packages, invitation letters, and expense approvals.
- Coordinate housing arrangements and third-party cleaning services for visitors.
- Work closely with the Visiting Researcher Program Lead to enhance the visitor experience.
- Allocate desks in coordination with Facilities and People & Culture.
- Assist with quarterly KPI and Board reporting.
- Ensure visitor policies align with institutional equity, diversity, and inclusion (EDI) initiatives.
- Support additional projects as needed.
What We're Looking for:
Education, Experience, Skills and Abilities
- Postsecondary education in a relevant field.
- 1–3 years of experience in a service-oriented or administrative role.
- Strong interpersonal, organizational, and communication skills.
- Ability to work independently and collaboratively with diverse individuals.
- Proficiency in Microsoft Excel, Word, and CRM systems (Salesforce preferred).
- Adaptability to changing priorities in a fast-paced environment.
